Rostra Privacy Policy

Introduction

Rostra (“Rostra”, “we”, “us” or “our”) is an AI platform offering services such as model auditing, consensus-based validated answers, and collaborative research. We are committed to protecting your privacy and handling your personal data in a safe and transparent manner. This Privacy Policy describes how we collect, use, and disclose information when you use Rostra’s websites, applications, and services (collectively, the “Services”). It also explains your rights and choices regarding your information. We adhere to applicable global data protection laws, including the EU General Data Protection Regulation (GDPR) and the California Consumer Privacy Act (CCPA), and we strive to meet the privacy expectations of users worldwide. By using our Services, you agree to the practices described in this Privacy Policy. If you do not agree, please do not use the Services.

User Ownership of Data: All information that you submit to Rostra is owned by you, the user. As between you and Rostra, you retain all rights to the content and personal data you provide. We do not claim ownership over your data. Our role is to process and store such information solely to provide and improve the Services as described below. This means any models, datasets, documents, queries, or other content you input into Rostra remain your property. Rostra will only use your information as needed to deliver the Services to you, to support and enhance your use of the platform, and to meet our legal and contractual obligations.

Information We Collect

We only collect personal information that is necessary to operate our platform and provide our Services. The types of information we may collect fall into a few categories, described below.

1. Information You Provide to Us:

  • Account Registration Data: When you create an account on Rostra, you provide personal information such as your name, email address, and a password. We use our own authentication system (not a third-party Single Sign-On), so your login credentials are collected directly by Rostra and not shared with any external identity provider. We store passwords in a secure, hashed form and never in plain text. You may also provide other profile details (like job title or organization) at your discretion.
  • Customer Content and Submissions: You may submit content while using our Services, for example: data sets for model auditing, questions or prompts for analysis, contributions to research collaborations, or content added to a shared wiki or knowledge base. All such inputs, as well as the outputs and results generated for you (e.g. validated answers, audit reports), are stored to enable the Services. You retain ownership of all content you submit, and we handle it as confidential on your behalf.
  • Communications and Support: If you contact us (for example, via customer support requests, emails to our team, or through feedback forms), we will collect the information you choose to give us in those communications. This may include your contact details (such as email or phone number) and the content of your message. We use this information to respond to your inquiries and improve our Services.

2. Information We Collect Automatically: When you use Rostra, we automatically collect certain technical and usage data to help us operate and secure our platform. This information may include:

  • Usage and Log Data: Details about your use of the Services, such as the pages or features you access, the time and date of your activities, logs of queries or operations performed (for example, audit runs or content contributions), and the duration of your sessions. We may log user actions to maintain an audit trail for security, debugging, and consensus validation purposes.
  • Device and Network Information: The Internet Protocol (IP) address used by your device, your browser type and version, operating system, device identifiers, and general geographic location (country or region). This data helps with troubleshooting, analytics, and ensuring the Service is delivered correctly to your device.
  • Cookies and Tracking Technologies: We use cookies and similar technologies (such as web beacons or local storage) to collect data about your interaction with our Services. For example, cookies allow us to keep you logged in during your session, remember your preferences, and understand how you navigate our site. Please see Cookies and Tracking Technologies (below) for more details on our use of cookies.

We do not collect any sensitive personal data from you unless you voluntarily submit it, as explained in the Sensitive Personal Data section. We also do not knowingly collect personal information from children (see Children’s Privacy below).

Cookies and Tracking Technologies

Cookies are small text files placed on your device to store information. Rostra uses cookies and similar tracking technologies for a few important purposes:

  • Essential Cookies: These cookies are necessary for our website and Services to function properly. For example, when you log into Rostra, we use a session cookie to maintain your login state as you navigate through different pages. Essential cookies enable core functionality like authentication and security and cannot be turned off, as the Services would not work without them.
  • Preference and Functional Cookies: We may use cookies to remember your preferences and settings (e.g. your chosen language or interface customization) to provide a more personalized experience.
  • Analytics Cookies: Rostra may use internal analytics or third-party analytics services to understand how users engage with our platform. Analytics cookies collect information about your usage patterns (such as which features are most used) so we can improve the Service’s performance and design. Any third-party analytics tools are carefully selected and will not use your data for their own purposes. For instance, if we use an analytics service, we ensure it does not share or sell the data.

We do not use advertising cookies or trackers for targeted advertising on Rostra’s platform. We also do not share your browsing behavior with advertising networks.

Your Choices: Most web browsers automatically accept cookies, but you can usually modify your browser setting to decline cookies or alert you when a cookie is being placed on your device. However, if you choose to disable or delete cookies, some parts of our Service (especially login and authentication) may not function properly. Where required by law, we will request your consent for non-essential cookies (for example, via a cookie banner when you first visit our site). By using our Services with cookies enabled in your browser, you consent to our use of cookies as described in this policy.

How We Use Your Information

Rostra uses the information we collect solely to provide, maintain, and improve our Services and to support our relationship with you. We do not use personal data for any purpose that is incompatible with those objectives. Specifically, we may use your information for the following purposes:

  • Providing and Operating the Services: We process your personal data and content to allow you to use Rostra’s features. This includes using your inputs to perform model audits, generate consensus-validated answers, facilitate collaborative research projects, and render any other services you request. Your information is used to authenticate you, to run the AI models or analysis on the data you provide, and to display results that are tailored to your queries.
  • Service Improvement and Development: We analyze usage data and feedback to understand how our Services are used and how we can make them better. This may involve reviewing aggregate usage patterns, debugging issues, and developing new features or capabilities. Importantly, any analysis of your content for improving the Services is done in-house and only to benefit your experience and that of our user community – not to train general models (see Data Ownership and Training below).
  • Customer Support and Communications: We use your contact information to send you service-related communications. For example, we may email you to confirm your account creation, inform you of important updates or changes to the Services, respond to support tickets or inquiries, and send technical or security notices. If you sign up for optional newsletters or marketing communications, we will use your email to deliver those; however, you can opt out at any time.
  • Security and Fraud Prevention: Your information is used to help monitor, prevent, and detect fraud, abuse, or unauthorized use of the Services. For example, we may use IP addresses and log data to identify potential malicious activities, enforce our Terms of Service, and protect the integrity of our platform and other users.
  • Legal Compliance: We may process personal data as required to comply with applicable laws and regulations, or to respond to lawful requests or court orders. We also use data to exercise or defend legal claims, and to cooperate with regulators and law enforcement when legally obligated.

No Secondary Use: We will not use your personal data for purposes unrelated to the Services without your consent. In particular, we do not use any data you provide to train or improve our general AI models. Any machine learning model improvements we undertake will not utilize your proprietary data unless you have explicitly authorized us to do so for your benefit. Likewise, Rostra does not sell, rent, or share your personal information with third parties for marketing or advertising purposes. Our use of your data is strictly limited to what is necessary to serve you and enhance the platform in ways that directly benefit users.

Legal Bases for Processing (EEA users): If you are an individual in the European Economic Area or a similar jurisdiction, our legal bases for processing your personal data include: (a) Performance of a Contract – we process data to provide you with the Services you requested under our Terms of Service; (b) Legitimate Interests – we use data to improve our Services, secure our platform, and communicate with you about updates (we consider these uses to be necessary for our legitimate business interests, balanced with your privacy rights); and (c) Compliance with Laws – in some cases we must process data to fulfill legal obligations. If we ever rely on consent for a particular processing activity, we will obtain your consent in advance and you may withdraw it at any time.

Data Ownership and Limited Use of Customer Data

Ownership: As noted earlier, you retain ownership of all information, data, and content that you submit to Rostra. This includes any text, files, images, datasets, or other materials you upload, as well as the outputs generated from our Services using your data (to the extent such outputs are derived from your inputs). Rostra will never claim intellectual property rights over your proprietary data or the results of your use of the platform. You are free to download, share, or delete your content at your discretion (subject to the functionality provided by the platform).

Limited License to Rostra: In order to operate the Services, when you submit or store content on Rostra, you grant us a license to process and use that data only for the purpose of providing the Services and as otherwise permitted by this Privacy Policy or required by law. This means we have your authorization to, for example, temporarily copy your data to run it through our algorithms, display it back to you, back it up for recovery, or send it to a cloud processing unit – but we cannot use it for any unrelated purposes. We do not use your data to develop our products beyond your own use of the Services, and we do not transfer your data to anyone else except as described in this policy. Once you delete data or close your account (and after any retention period described below), we cease processing your data.

No Training or Selling of Data: Rostra will not use customer data for training machine learning models (unless you explicitly instruct us to as part of a feature or future offering, and even then it would be under your control and benefit). We also do not sell or monetize your personal data or content in any way. All data provided by customers is used solely for the purpose of delivering the Services and improving them for your use, in accordance with this Privacy Policy. We take this commitment seriously as part of our effort to maintain your trust and protect your privacy.

Sensitive Personal Data

Rostra does not intentionally collect any sensitive personal data about you as a requirement for using the Services. “Sensitive personal data” refers to information such as racial or ethnic origin, political opinions, religious or philosophical beliefs, trade union membership, genetic or biometric data, health information, financial account information, precise geolocation, or sex life or sexual orientation details. We do not need this type of information for you to use our platform, and we ask that you do not include sensitive personal data in the content you submit to Rostra unless it is necessary for your use case.

In the normal course of providing our Services, we do not monitor or deliberately collect such sensitive information. However, we acknowledge that customers might choose to upload or input sensitive data into Rostra (for example, you might use Rostra’s tools to analyze a proprietary dataset that contains personal health information or other sensitive fields). If you choose to submit sensitive personal data, you are consenting to our processing of that data for the purpose of providing the Services to you. We will treat any sensitive information we encounter with a high degree of security and confidentiality, and we will process it only in accordance with this Privacy Policy and applicable law. If we become aware that we have unintentionally collected sensitive personal data without your consent, we will delete it or anonymize it promptly.

User-Generated Content and Collaboration

In the near future, Rostra may offer features that enable users to create and share content with others on the platform – for example, a collaborative wiki, forums, or shared research repositories. Any user-generated content you choose to contribute in these areas (such as articles, notes, or comments) may be visible to other authorized users of the Service, and in some cases, to the public, depending on the feature. For instance, if Rostra implements a community wiki or a public knowledge base, content you add there could be seen by other community members or the general public.

Please use caution when posting personal information in collaborative or public sections of our Services. If you include personal data about yourself or others in content that is meant to be shared, that information can be read, collected, and used by other participants who access it. Rostra is not responsible for how other users may use information you make public through these collaborative features. We encourage you to avoid sharing sensitive or confidential information in any public or shared content areas.

Any user-generated content you contribute will be associated with your account profile (for example, your username or display name may appear alongside your posts). You will typically have the ability to edit or delete content you have posted, but copies of content (especially if public) might remain viewable in cached pages or archives, or might be stored by other users. Rostra may also retain backups of such content for a period of time as part of routine data storage. All user-generated content is subject to our Terms of Service, and may be moderated or removed if it violates our policies or applicable law.

Data Sharing and Disclosure

We understand the importance of keeping your personal information private. Rostra does not disclose your personal data to third parties except in the limited circumstances described below, all of which are aligned with delivering and supporting our Services and complying with the law. In none of these cases do we sell or rent personal data.

  • Service Providers (Processors): We may share information with trusted third-party service providers who perform services on our behalf to help us operate and improve Rostra. This includes, for example, cloud hosting providers (for data storage and servers), data center or IT support services, analytics service providers (to the extent we use third-party analytics tools), or email communication platforms (to send service emails). These service providers only receive the information necessary for them to perform their specific functions, and they are contractually obligated to process personal data only for our purposes, under our instructions, and with confidentiality and security protections in place. They cannot use your information for their own purposes or transfer it to others.
  • Within Rostra Corporate Group: If Rostra is part of a group of related companies (for example, subsidiaries or affiliates), we may share personal data with those affiliated entities for internal business purposes. Any such affiliates will honor the commitments of this Privacy Policy and are bound by appropriate confidentiality and data protection obligations. (If Rostra currently has no affiliates, your data is not shared in this manner.)
  • Business Transfers: If Rostra is involved in a merger, acquisition, bankruptcy, reorganization, or sale of some or all of our assets, your personal data may be transferred as part of that transaction. We will ensure that the new owner continues to be bound by terms and safeguards similar to those in this Privacy Policy with respect to your personal information. We will also provide notice to users (for example, by email or a prominent notice on our site) before any personal data is transferred and becomes subject to a different privacy policy.
  • Legal Compliance and Protection: We may disclose your information when we believe in good faith that such disclosure is necessary to comply with a legal obligation or request (for example, a subpoena, court order, or search warrant), to address any violations of our Terms of Service, or to protect the rights, property, or safety of Rostra, our customers, or others. This includes exchanging information with law enforcement or regulatory agencies when legally required, and cooperating with investigations (while respecting applicable laws and regulations). If we receive a government or law enforcement request for access to data, we will attempt to redirect the requesting party to obtain the data directly from you or provide you with notice of the request (if legally permitted).

No Third-Party Marketing Use: We do not share your personal information with third parties for their own marketing or advertising purposes, and we do not sell personal data (as “sell” may be defined under laws like the CCPA). Rostra also does not disclose personal data to any third-party social media platforms or identity providers – for example, we do not send your information to Google or Facebook for authentication or any other reason since we use our own login system.

Finally, if you specifically authorize or request us to share your information with a third party (for instance, if in the future you integrate Rostra with one of your own enterprise systems or wish to export data to a third-party service), we will do so only with your consent and as directed by you. Any such integrations will be governed by this Policy and any additional agreements in place with you.

Data Security

Rostra takes the security of your personal data very seriously. We implement a variety of technical and organizational measures to protect your information from unauthorized access, disclosure, alteration, or destruction. These measures include, for example:

  • Encryption: We encrypt personal data in transit using secure protocols (such as TLS/SSL) and employ encryption at rest for stored data where applicable. This helps protect your data when it’s being transmitted between your device and our servers, as well as when it is stored in our databases or on cloud infrastructure.
  • Access Controls: We limit access to personal data to only those Rostra employees, contractors, and service providers who have a need to know that information for the purpose of operating and improving our Services. All such personnel are subject to strict confidentiality obligations. We use access controls, authentication mechanisms, and network security measures to prevent unauthorized access to our systems.
  • Monitoring and Testing: Our security team regularly monitors the platform for vulnerabilities and potential attacks. We maintain up-to-date security practices, including periodic security assessments, penetration testing, and code reviews. We also have systems in place to detect and respond to indicators of compromise or anomalous activities.
  • Organizational Policies: Rostra maintains internal policies and training for staff on data protection best practices. We ensure that any employee or contractor with access to personal data undergoes privacy and security training. We also have an incident response plan to handle any data security breaches swiftly and effectively, including notifying users and authorities as required by law.

While we strive to protect your information with these measures, no system can be 100% secure. We cannot guarantee absolute security of data transmitted to or stored by us. It is also important that you play a role in keeping your data secure: please use a strong, unique password for your Rostra account, do not share your login credentials, and notify us immediately at sales@rostra.ai if you suspect any unauthorized access to your account or any security vulnerabilities in our Services.

Data Retention

We will retain your personal data only for as long as necessary to fulfill the purposes for which it was collected, as described in this Privacy Policy, or as required by law or legitimate business purposes. Because different types of data may be needed for different purposes, retention periods can vary:

  • Account Information: We retain the personal information associated with your account (such as your name, contact details, and credentials) for as long as your account remains active. If you deactivate or request deletion of your account, we will delete or anonymize this information within a reasonable period after the account is closed. In general, most of your account data will be removed from our live systems within approximately 30–90 days of account deletion.
  • Customer Content: Content that you provide or create using the Services (such as data sets, analysis results, or wiki contributions) will remain stored on our systems while your account is active, so that you have access to it. If you remove specific pieces of content or delete your account entirely, we will initiate deletion of that content from our systems. In many cases, deletion or anonymization occurs promptly after you remove the data (for example, if you delete a document from the platform it may be expunged from our databases within days). However, please note that removed content might persist in certain backups or archives for a limited duration. We maintain backups to ensure service reliability, and it may take additional time (up to several weeks) for data to be fully purged from all backup storage. During this period, your data remains protected under this Privacy Policy and is not used for any active purpose.
  • Usage Data: We typically retain log files and analytics data for a shorter period of time, since we only need aggregate insights from these. Basic usage logs may be kept for internal analysis and security monitoring for up to 12 months, unless a longer retention is required (for example, if the logs are needed for investigation of abuse, fraud, or to comply with legal obligations). We may retain aggregated or anonymized usage data (which no longer identifies any individual) indefinitely, as it no longer constitutes personal data and is useful for statistical purposes and improving our Services.

Legal Retention Requirements: In some cases, we may need to retain certain information for longer periods if required by applicable law, regulation, legal process, or government enforcement requests. For example, records of transactions or payments (if any) might be kept for accounting/tax purposes, and information related to legal disputes might be retained until those matters are resolved. In all cases, when we no longer have a legitimate need to retain your personal data, we will securely delete it or irreversibly anonymize it.

International Data Transfers

Rostra is a global platform, and your information may be stored and processed in countries other than your own. Specifically, the personal data we collect is primarily processed on servers located in the United States. If you reside outside of the United States, this means your personal data will be transferred to and accessible from the U.S. (and potentially from other countries where our personnel or service providers are located). The data protection laws of these countries may be different from those in your jurisdiction, and may not provide the same level of protection.

However, we take measures to ensure that your personal data is protected in line with this Privacy Policy wherever it is processed. When we transfer personal data internationally, we do so in compliance with applicable data protection laws. For example, if we transfer personal information from the European Economic Area (EEA), United Kingdom, or Switzerland to the United States or any other country that has not been deemed by the European Commission to have an “adequate” level of data protection, we rely on appropriate safeguards such as Standard Contractual Clauses (SCCs) or other legally recognized transfer mechanisms to ensure that your data remains protected. We may also implement additional technical and organizational measures as required by GDPR and related regulations to secure the data during transfer and at rest.

By using Rostra’s Services or by providing us with your information, you acknowledge the transfer, storage, and processing of your personal data in the United States and any other country in which we or our service providers maintain facilities. We will obtain any necessary consents for cross-border transfers as required by law. Your Rights and Choices

You have certain rights and choices regarding the personal data that we collect about you. Rostra is committed to upholding your rights under privacy laws such as GDPR, CCPA, and other applicable regulations. The availability of these rights and the ways to exercise them can depend on your jurisdiction and the circumstances of the processing. We outline key rights below:

Rights for EEA, UK, and Other Jurisdictions (GDPR and similar laws): If you are located in the European Economic Area, United Kingdom, or regions with similar data protection laws, you have the following rights with respect to your personal data:

  • Right to Access: You have the right to request confirmation of whether we are processing personal data about you, and if so, to request a copy of the data along with certain information about how we use it.
  • Right to Rectification: You have the right to request that we correct or update any inaccurate or incomplete personal data we hold about you. You can also update most of your basic account information directly through your account settings.
  • Right to Erasure: You have the right to request that we delete your personal data. This is sometimes called the “right to be forgotten.” We will honor such requests to the extent possible (for example, by deleting your account and associated data) provided we do not have a legal obligation or other valid reason to retain the information (refer to our Data Retention section above for examples).
  • Right to Restrict Processing: You have the right to ask that we limit the processing of your personal data in certain circumstances – for instance, if you contest the accuracy of the data or object to us processing it. When processing is restricted, we can still store your data but will not use it for other purposes until the issue is resolved.
  • Right to Object: You have the right to object to our processing of your personal data when such processing is based on our legitimate interests (or those of a third party) or is done for direct marketing purposes. If you lodge an objection, we will re-evaluate your data’s processing and, unless we have compelling legitimate grounds to continue, we will stop processing the data. Objections to direct marketing will be honored immediately.
  • Right to Data Portability: You have the right to request an electronic copy of the personal data you have provided to us in a structured, commonly used, machine-readable format, and you can ask us to transmit that data to another data controller where technically feasible. This right applies when you have provided personal data and we process that data by automated means based on your consent or a contract with you.
  • Right to Withdraw Consent: In the limited cases where we rely on your consent to process personal data (e.g., if you consent to receive marketing emails or if you consent to a future feature that explicitly requests consent), you have the right to withdraw that consent at any time. Withdrawing consent will not affect the lawfulness of any processing we conducted prior to your withdrawal, and it will not affect processing that is based on other legal grounds.
  • Right to Lodge a Complaint: If you believe that our handling of your personal data violates the GDPR or other applicable law, you have the right to lodge a complaint with a supervisory authority in your country of residence, place of work, or where an alleged infringement occurred. For example, EU users can contact their country’s data protection authority. We would, however, appreciate the chance to address your concerns directly before you do this, so we encourage you to contact us first with any complaint.

Rights for California Residents (CCPA/CPRA): If you are a resident of California, the California Consumer Privacy Act (as amended by the California Privacy Rights Act) provides you with specific rights regarding your personal information:

  • Right to Know: You have the right to request that we disclose what personal information we have collected about you in the past 12 months, including the categories of personal information, the categories of sources, the business or commercial purpose for collecting it, and the categories of third parties with whom we shared that information. You also have the right to request a copy of the specific pieces of personal information we collected about you.
  • Right to Delete: You have the right to request that we delete any personal information about you that we have collected from you, subject to certain exceptions (for example, if the information is needed to complete a transaction you requested, to detect security incidents, to comply with legal obligations, etc.). If applicable exceptions apply, we will let you know in our response.
  • Right to Correct: You have the right to request that we correct inaccurate personal information we hold about you. We will take into account the nature of the personal information and the purposes of processing when considering your request, and make commercially reasonable efforts to correct the information.
  • Right to Opt-Out of Sale/Sharing: You have the right to opt out of the “sale” of your personal information or the “sharing” of your personal information for cross-context behavioral advertising, as those terms are defined under California law. However, Rostra does not sell personal information to third parties, and we do not share your data with third parties for the purpose of targeted advertising. Therefore, there is no need for you to take any action to opt out of sale/sharing of your data. We will treat any signals or preferences you express (such as a browser’s Do Not Track or Global Privacy Control signal) in accordance with applicable regulations, but since we do not sell or share data in this manner, such preferences have limited applicability on our platform.
  • Right to Non-Discrimination: Rostra will not discriminate against you for exercising any of your CCPA rights. This means we will not deny you our Services, charge you a different price, or provide a different level or quality of service just because you exercised your rights under the CCPA. If we ever offer financial incentives that relate to the provision of personal information (unlikely in our enterprise context), we will provide you with appropriate information and obtain your opt-in consent as required by law.

Exercising Your Rights: You may exercise any of the applicable rights above by contacting us at sales@rostra.ai. Please specify which right you wish to exercise and provide us with sufficient information to verify your identity (for example, by providing details of your account or recent interactions with us). For certain requests (like access, deletion, or “right to know” requests under CCPA), we are required to verify that the request is coming from the correct individual or an authorized agent. We will ask for information to reasonably verify your identity and will only use that information for verification purposes.

We will respond to your request within the timeframe required by law (for example, GDPR requires response without undue delay and within one month, CCPA generally within 45 days). If we need more time or cannot fulfill your request (due to a legal exception), we will inform you of the reason and extension of time in writing. Note that some rights may be limited – for instance, if fulfilling a data access request would reveal personal data about another person, we may need to redact or refuse that portion of the request. Rest assured, we are committed to honoring your rights to the fullest extent possible.

Account Controls: In addition to formal rights requests, you can always review and update certain information directly by logging into your Rostra account. For example, you can edit your profile details or change your communication preferences in your account settings. If you wish to delete your account, you can do so through the account management page or by contacting us. We may ask for confirmation before deleting an account (to prevent accidental or malicious deletion).

Children’s Privacy

Rostra’s Services are intended for use by businesses and adults. We do not target or knowingly collect personal data from children. In particular, we do not knowingly allow individuals under the age of 16 (or the relevant minimum age in your jurisdiction) to sign up for a Rostra account or to use our platform. If you are under 16, you should not use our Services or provide any personal information to us.

If we learn that we have inadvertently collected personal data from a child under the age of 16 without appropriate consent, we will take steps to delete that information as soon as possible. If you believe that a child under 16 may have provided us personal data, please contact us immediately at sales@rostra.ai so that we can investigate and address the issue promptly.

Changes to This Privacy Policy

We may update or modify this Privacy Policy from time to time in response to changing legal, technical, or business developments. When we update the policy, we will post the revised version with an updated effective date at the top of the policy. If the changes are material, we will provide a more prominent notice (such as by emailing registered users or placing a notice on our website prior to the changes taking effect).
